MINUTES OF THE WOODS

ANNUAL POA MEETING

JULY 19, 2005

 

 

The annual meeting of the Woods POA was held on Tuesday July 19, 2005 at 7:30pm in the home of Wendy Fuscoe.  Those in attendance were: Wendy Fuscoe, Luke and Tanya Greenwood (2 lots), Pat and Monty Joynes (2 lots), Martha Marking and Michael Slaughter, Tim and Cathia Silver, Andrew Miller, and Sue Wells.  4 proxies were received, making a quorum of 13 votes of 25 paid,  The meeting was presided over by Luke Greenwood.

 

2004 Minutes: A motion was made to dispense with reading of the 2004 minutes.  Motion carried and minutes approved without any correction or additions.

 

Treasurer Report: Treasurer Patricia Joynes presented the Treasurer’s Report, noting a balance of $13,125.37 as of June 30, 2005.  The POA purchased a new snow plow for Ken Broderick at a cost of $1,110.64 with the agreement that Ken perform snow removal for the Woods neighborhood.  The POA maintains a $300 credit with Ken to be used for snow removal for the 2005/2006 season.  Please refer to the Woods POA Financial Report of July 1, 2004 thru June 30, 2005 for itemized income and expenses for that period.

 

Old Business

Culvert Issues: Luke Greenwood filled gaps in the upper side of the culvert with concrete in an attempt to prevent water from eroding around the culvert pipe.  As of Luke’s last inspection, the repair seems to be working.  Moretz Paving inspected the cracking of the roadway on the downhill side of the culvert and recommended that no changes need be made at this time and that all trees be left in place.

 

Drainage Ditches: The roadside drainage ditches on Woodhaven Trail need to be cleaned of debris and sediment.  Excavation may be necessary in the vicinity of the Wells and Butlers homes.  As indicated in the Woods Restrictive Covenants, “It shall be the obligation of the property owner to provide, install, and maintain adequate culvert and drainage pipe beneath his or her dwelling as it crosses the ditch line at the back, front, or side of his or her lot in order that the natural flow of drainage will not at any time be blocked along the street..."

 

 

Tree Limbs over Roadway: A reminder to property owners that it is your responsibility to remove potentially hazardous tree limbs overhanging the roadway that originate on your property.   

 

 

 

 

New Business

Clearing of Nuisance Foliage: Motion was made to assess and remove tree limbs deemed a hazard to the roadway and residents of the woods.  Discussion ensued and the motion was approved.  Michael Slaughter will perform removal of easily handled branches.  Individual property owners will be contacted if large job is required.

 

 

Woods Roadway Maintenance Committee: Motion was made to convene a roadway maintenance committee that will meet several times between annual meetings to assess maintenance needs of Woodhaven Trail and Woodhaven Lane.  Luke Greenwood  and Sue and Rich Wells agreed to serve on this committee during the coming year.  Discussion also focused on the need to repair Woodhaven Trail where cracking and a hole in the roadway are evident.

 

Date of Annual POA Meeting:  Attendees engaged in a brief discussion regarding attendance at the Annual POA Meetings and what time of year would be most conducive for the residents of the Woods.  Several questions arose: would more people attend if meetings were held in the fall?  Should a survey be designed to gauge the \perspective of Woods residents in regards to involvement in the POA?

Election of Officers: Cathia, Luke and Pat agreed to continue as officers for the POA.  Luke and Cathia  traded roles for the 2005/2006 year.  Sue Wells nominated herself for position of secretary and the nomination was unanimously approved.

Motion to adjourn the meeting was made.  The Association thanks Wendy Fuscoe for providing hospitality at her home.
